Terms & Conditions
Last updated: 28 August 2026
[Your full legal name] with your real legal name. Confirm and adjust the payment terms, notice periods and cancellation fees marked below — the figures used are sensible defaults, not fixed requirements.
1. Who we are
SEVA is currently operated as a sole trader by [Your full legal name], based in Hampshire & Dorset, England ("SEVA", "we", "us", "our"), while our application to incorporate as Sports Environments Ltd is in progress. Until incorporation completes, any contract you enter into with us is with the sole trader named above, not a limited company. We'll update this section — and reissue these terms — the moment Companies House confirms incorporation. Contact: sportsenvironments@outlook.com.
2. Using this website
The content on this website — text, design, logo and images — belongs to SEVA unless otherwise stated, and may not be copied or reused without permission. We take reasonable care to keep information on this site accurate, but all pricing is proposal-based and confirmed individually — nothing on this website constitutes a binding quote. We're not responsible for the content of any external sites we link to.
3. Quotations & proposals
Every job is quoted individually, based on the venue, assets and access involved. Quotations are valid for 30 days from the date given unless stated otherwise. A job is only confirmed once you've accepted a proposal in writing (including by email).
4. Site access & working conditions
You're responsible for providing safe, reasonable access to the assets to be cleaned or cared for, including space for any access equipment we need to bring (e.g. water-fed pole, ladders, or — for canopy work — a vehicle able to load and transport canopies). Please tell us in advance about any known hazards on site, restricted areas, or times when the venue is in active use by members or the public, so we can plan access and timing safely.
Some of our work — including glass court, high-level glazing and canopy access — involves working at height. We carry this out to our own risk assessment and method statement (RAMS), a copy of which is available on request before work begins. Venues with routine public or member access (including padel clubs, gyms, and leisure centres) should let us know if under-18s are typically present during working hours, so we can plan our schedule accordingly.
We may decline to start, or pause, work if access is unsafe, and reserve the right to charge a reduced callout fee in that situation.
5. Canopies & umbrellas removed for cleaning
Canopy and umbrella cleaning normally involves us collecting the item from your venue, cleaning and re-waterproofing it off-site, then returning, refitting and dressing it. While an item is in our care off-site, we take reasonable steps to protect it from loss or damage, and it remains covered under our public liability insurance once that's in place (see Section 7). We'll agree collection and return dates with you in advance, and will let you know as soon as possible if a delay affects the return date — for example due to weather affecting re-waterproofing.
6. Payment
We accept payment by bank transfer, invoice, or online card payment. Unless otherwise agreed in writing, invoices are due within 14 days of the invoice date. For business clients, we reserve the right to charge statutory interest on overdue invoices under the Late Payment of Commercial Debts (Interest) Act 1998.
7. Cancellation & rescheduling
We ask for at least 48 hours' notice to cancel or reschedule a booked visit. Cancellations with less notice may incur a callout charge to cover time and travel already committed. Recurring (monthly/quarterly) contracts may be cancelled by either party with 30 days' written notice. External glazing and canopy work is weather-dependent — we may need to reschedule at short notice for safety reasons (for example high wind affecting height access or canopy handling), and won't charge a late-cancellation fee when we do.
8. Liability & insurance
We are currently arranging public liability insurance and do not yet hold an active policy. We will not begin any physical on-site work — cleaning, canopy handling, or any other service — until our public liability insurance is confirmed and in place, and we will provide written confirmation of cover on request before any job starts. Accepting a proposal or booking from us now does not mean work will begin before we've confirmed insurance is active. Once insurance is in place, this section will be updated with our insurer and policy reference.
Once we are insured and carrying out work: except in the case of death, personal injury, or fraud caused by our negligence, our liability for any job is limited to the value of that job. We are not liable for pre-existing damage, wear, or defects in assets not caused by our work.
As SEVA grows, some work may be carried out by trained operators working to our standard rather than by us personally. Wherever that's the case, the same liability terms in this section apply.
9. Photography & marketing use
We may take before/after photographs or video of completed work for our own records. We will only use images or footage that identify your venue or business in our marketing, portfolio, or on social media with your separate written or email agreement beforehand — we won't assume this consent as part of a standard job.
10. If you're an individual consumer
Our services are mainly provided to businesses and venues. If you're contracting with us as an individual consumer rather than a business, additional statutory rights may apply to you under the Consumer Rights Act 2015 and the Consumer Contracts Regulations 2013, including certain cancellation rights for off-premises contracts. Contact us if you'd like these explained for your situation — nothing in these terms is intended to remove statutory consumer rights you're entitled to.
11. Circumstances beyond our control
We're not liable for delay or failure to perform caused by circumstances beyond our reasonable control, including severe weather, illness, or access being unexpectedly denied.
12. Complaints
If something isn't right, please email sportsenvironments@outlook.com with details and we'll aim to respond within 2 business days.
13. Governing law
These terms are governed by the law of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
